The Sales Administrator supports the sales team by ensuring smooth and efficient administrative operations, managing sales documentation, and maintaining accurate records in CRM systems. This role acts as a vital link between the sales team, customers, and other departments, contributing to the overall success of the sales process and customer experience. 

Key Responsibilities: 

  • Provide administrative support to the sales team, including preparing quotes, proposals, contracts, and order forms. 

  • Maintain and update CRM systems and sales databases with accurate client and deal information. 

  • Coordinate communication between sales representatives and clients, including scheduling meetings, follow-ups, and responding to inquiries. 

  • Process and track sales orders, ensuring timely delivery and accurate invoicing. 

  • Assist with sales reporting, preparing dashboards and performance summaries for management. 

  • Liaise with finance and operations teams to ensure order fulfillment and resolve issues. 

  • Support marketing and sales campaigns by helping to manage contact lists, promotional materials, and event logistics. 

  • Ensure compliance with internal sales processes and data protection  

  

Key Performance Indicators 

  • Accuracy and timeliness of order processing and data entry. 

  • CRM data completeness and update frequency. 

  • Quote-to-order conversion time. 

  • Response time to internal and external sales queries. 

  • Number of administrative errors reported. 

  • Sales team satisfaction score. 

 

Required Skills: 

  • Proven experience in a sales support or administrative role (1–3 years). 

  • Proficiency in Microsoft Office (Excel, Word, Outlook). 

  • Basic understanding of sales processes and commercial contracts. 

  • Knowledge of logistics or supply chain coordination. 

  • Strong organizational and time management skills with a keen attention to detail. 

  • Excellent verbal and written communication skills. 

  • Ability to manage multiple tasks and deadlines in a fast-paced environment. 

  • A proactive and problem-solving mindset. 

  • High level of confidentiality and professionalism. 

 

Desirable skills 

  • Experience in a similar role within content licensing, Media, SaaS, and/or Creative verticals 

  • Proficiency with CRM systems (e.g., Salesforce) 

  • Qualification in Business Administration, Sales, or a related field. 

  • Experience with reporting tools such as Power BI
